Create a Document Template

Description
Enter a descriptive name for the document template “Confirmation” or “Lease Agreement”. Document Templates are ordered alphabetically by name when accessed in the application.
Document type
Select a destination in the program where the template will be available to use. Options include: Reservation, Corporate Client, Property and Unit. Create documents (Confirmation, Lease Agreement) pertaining to the Guest’s stay under “Reservations”. Create documents pertaining to communications (Notice to Vacate, Key Release) under “Units”.
Active
When creating a new document, this option is populated by default. Unpopulate this option to prevent users from accessing this document in the application.
Save with Record
This feature automatically saves an edited copy of the document within the Reservation or Unit when one is generated. Software Answers recommends only using this feature on “official” and legal-type documents such as the Lease Agreement, where the need to retrieve a copy of an original document is greatest. Overuse of this feature will significantly slow down the processing speed of related program functions (templates, email, document viewing) in the database. Only enable this option after the document has been completed, not at initial creation of the document.
E-Sign
The text for this option will vary, based on which E-Sign provider your company utilizes. Either E-sign-Genie, Right Signature or Adobe Sign will be listed here. Populate this indicator if the document will be used through E-sign.
